Financial reports

About your financial reports

These are the reports that most organisations generally produce annually to show their financial position.

  • Profit and Loss - shows your organisation's net income by deducting expenses from your income, for a given period.
  • Income and expenditure reports - shows your school's financial position by deducting expenses from your income, for a given period.
  • Balance Sheet - details your organisation's net worth at a particular date.
  • Cash Flow - project your cash flow from the present year to five years in advance, based on your Sage 200 budgets.
  • SOFA report - for academies only - details the income and expenditure of your funds.
  • CFR balances report - for maintained schools only - details your income and expenditure by CFR code.

These reports can be produced in different ways, depending on what's best for your organisation. You can print reports to paper using our standard layouts, or use Excel Reporting to see the data in an Excel spreadsheet, where it can be manipulated before being printed.

As a printed report

Sage 200 provides a number of 'out of the box ' financial reports for you to use. The reports vary depending on the details you want to see, and how you want to report on your financial data.

You can print the following financial reports:

  • Profit and Loss
  • Income and Expenditure
  • Balance Sheet
  • Cash Flow.
  • SOFA report - if you're an academy.

Report layouts

Each report uses a layout to determine:

  1. Headings and subheading for each section.
  2. The nominal accounts (by report or SOFA category) that are included.
  3. How the nominal accounts are totalled in each section.
  4. How the report sections are added together.
  5. How the values are displayed.
  6. Any other text that you want to include.

Sample layouts

To help you, we have provided sample layouts for all the financial reports.

These sample layouts use the 'out of the box' report and SOFA categories created for you when your first set up Sage 200. If you have just used these report and SOFA categories with your nominal accounts, you can use a sample layout and print your financial reports right away.

If you have migrated from another product, have created additional report or SOFA categories, or want to add your own text, or change how report looks, you'll need to create new layouts. We recommend that you use the sample layouts as a template to create your own.

Importing and exporting layouts

If you want to share layouts between companies, you can use the import and export options to do this. This saves the layout as a CSV file and lets you edit using Excel.

As an Excel report

Note: The Financial Statement Designer is only available if you added Sage 200 Services Extra to your subscription. This includes Excel Reporting. You can check this in Sage Provisioning Portal.

This send your data to Excel spreadsheet, where you can filter and sort the date before printing. You use the following financial reports in Excel:

  • CFR Balances- for maintained schools.
  • Asset and Liability report - to see your Balance Sheet data.
  • Revenue and Cost report - to see your Income and Expense data.

Excel report layouts

Each of your these financial reports uses a layout to determine:

  • The nominal accounts (by report category) that are included.
  • How the nominal accounts are totalled in each section.
  • How the report sections are added together.

Sample layouts

We have provided some sample layouts that use the 'out of the box' report categories. If you've used these categories to set up your chart of accounts, then you don't need to do anything else, you can just run the report!

If you've used your own report categories, want to add your own text, or change how report looks, then you'll need to create your own report layout. We recommend that you use the default layouts as a template to create your own.
